Job summary

Main duties and responsibilities:

  • Provide exceptional customer service by greeting customers in a friendly manner, paying attention to customer inquiries and requests, asking questions to determine what the customer wants, addressing customer issues.
  • Provide accurate and detailed information about the work to be completed, pricing, and estimated completion times.
  • Coordinate with other departments to ensure effective communication and timely repair delivery.
  • Proactively communicate with Bodyshop staff about planning, work progress, and status of work on vehicles/work in the Bodyshop.
  • Makes customer file and maintain this updated. – Insurance approvals, Parts ordering, Rental vehicle agreements,
  • Contacts customers.
  • Makes follow up calls.
  • Obtains the customer’s written approval on all repairs at the time of the write-up inspects every finished repair order for proper completion, pricing accuracy, and legibility.
  • Ensures that work is completed on time and as requested.
  • Pro-active communicates with customer about status of work.
  • Maintains and updates customer records and files before and after completion.
  • Shifts priorities and goals as work demands change.
  • Selling of additional services that Body Shop and Service department offers.
  • Plans, organizes, leads and controls the flow of work through the department.

  • Advisor:
    • Customer reception and queries.
    • Booking vehicles in for estimates and for work provision.
    • Carry out ‘vehicle check in’ procedure. § Responsible for the handling and processing of the customers’ vehicle, paperwork and payments
    • Receiving faxes, telephone calls and customers in person.
    • Creating and maintaining customer files.
    • Maintaining customer contact for updates, queries and collection.
    • Monitoring progress through workshop to enable enquirers to be answered.
    • Computer Input of customer information for estimate.
    • Liaise with insurance company on inspection requirements and approvals.
    • Functional relationship with Estimator/s and Technical staff.
    • Outside relationships with insurance companies and customers.
    • Managing customer relations with all accounts.
    • Cultivate close and harmonious relationships with all work providers, colleagues and customers.
    • Understand customer needs and perception.
    • Maintain up-to-date knowledge of insurance company policies related to provision of courtesy cars.
    • All courtesy cars are covered by insurance before release.
    • Ensure courtesy car agreement has date/time out, date due back and actual return date/time completed on 100% of vehicle.
    • Completed cars are not released until confirmation of payment is given.
    • Keep customers informed of job progress and completion date.
  • Estimating
    • Preparation of estimates where necessary.
    • Selection of correct repair method, in line with Manufacturers specified repair methods data, or by following the companies process if no manufacturer data is available.
    • Preparation of supplementary estimates where applicable.
    • Print revised repair methods and include in job pack when necessary.
    • Operation of computerized estimating systems.
    • Communication with customers and provide additional estimates for any unrelated accident damage and up sell opportunities.
    • Mobile estimates when required.
    • External relationships with Insurance Company Engineers,
    • Accuracy of estimates inc repair methodology.
    • Best possible price achieved.

  • Road tests vehicles to ensure repairs are completed properly.
  • Ensure that the department’s work is prioritized in such a manner that deadlines are met.
  • Ensure that all repair orders are booked in accordance with the dealership’s and manufacturer’s standard labor time guide for proper completion, pricing accuracy, and eligibility on time.
  • Respond to and keep customers up to date on any inquiries, complaints, and concerns in a timely and professional manner.
  • Proactively identify and participate in areas of improvement and processes.
  • Keep up to date with industry developments and ensure Bodyshop Technicians are trained and equipped to work safely and efficiently.
  • Responsible for a well-organized, clean, safe, and free of clutter Shop
  • Responsible for proper disposal of used/replaced parts and return of unused parts to the Parts department.
  • Responsible for ensuring that Bodyshop tools and equipment receive preventive maintenance, cleaning, repairs and are kept in good working order, as well as keeping the work area clean and organized at all times.
  • Supervise the maintenance and organization of customer records and ensure that they are kept accurate and up to date.
  • Stay informed about dealership products, services, and promotions to provide accurate and up-to-date information to the Bodyshop team and customers.
  • Keep wel informed on industry trends and best practices to continuously improve the Bodyshop operations.
  • Adhere to all company policies, procedures, and safety regulations.
  • Assist in the resolution of any conflicts or discrepancies.
  • Responsible for other duties as assigned and/or required by business need.
  • Minimum Technical Vocational training or Associate’s degree in preferably the Automotive or related field
  • Knowledge of automotive repair systems, processes, certifications, and terminology is a plus
  • Experience for at least two (2) years in the automotive industry in preferably car damage quotations, claims, and repair
  • Highly organized and detail-oriented, with the ability to multitask and prioritize effectively
